What Is In-App Report Ownership Transfer?

In-App Report Ownership Transfer allows users to take over reports that are currently assigned to other radiologists. This is particularly useful in scenarios where:

  • A radiologist is unavailable to complete a report

  • Shift handoffs require reassigning work

  • Urgent cases need immediate attention from an available radiologist

  • Workload balancing requires redistributing reports

When disabled, users attempting to open a report owned by someone else will see "This report is not assigned to you" and cannot proceed.

How It Works

Administrator Configuration

Administrators configure this feature under Organization Settings > Multi Author. There are three configuration states:

Disabled

When ownership transfer is disabled, users cannot take over reports from other users. They will see a message indicating the report is not assigned to them.

Enabled with Confirmation Required

When enabled with confirmation, users can take over reports but must choose how to handle any unsaved changes from the previous owner before proceeding.

Enabled with Automatic Action

When enabled without confirmation, the system automatically applies a pre-configured action (save or discard changes) when a user takes over a report.

User Experience: Taking Over a Report

When you attempt to open a report owned by another user:

Notification

You'll see a notification that the report is currently assigned to another user, along with a Take Over button (if the feature is enabled).

Decision Point (If Confirmation Required)

If the report is being actively drafted and confirmation is required, you'll be presented with two options:

  • Save the previous owner's changes - Preserves all unsaved work

  • Discard the previous owner's changes - Reverts to the last saved state

Takeover Complete

Once the takeover is complete, you become the report owner and can continue editing. You'll see a notification confirming the takeover and which action was applied to the previous owner's changes.

Allow Ownership Transfer

The main toggle that enables or disables the entire feature.

Require Confirmation Before Takeover

Controls whether users must manually choose what happens to unsaved changes when taking over a report that's being drafted.

Automatic Takeover Action

When confirmation is not required, this setting determines what happens to the previous owner's unsaved changes:

Reverts the report to its last saved state, discarding any unsaved edits

Cascaded Setting

When the Cascaded checkbox is enabled, sub-organizations inherit this setting from the parent organization. Sub-organizations cannot override cascaded settings.

Limitations and Constraints

When Takeover Is Not Available

In-App Report Ownership Transfer does not apply when:

  • The feature is disabled by your administrator

  • You are already the report owner

  • The report is in a state that doesn't allow ownership changes (e.g., scheduled for publication)

What Happens to the Previous Owner

When a report is taken over:

  • The previous owner loses access to edit the report

  • The previous owner's unsaved changes are either saved or discarded based on configuration
